Connecting Square Invoices
The Square Invoices integration turns your wholesale customer orders and event bookings into invoices in Square, so customers can pay you online by card — it's a separate connection from the Square POS integration.
Before You Start
- You need an active Square account.
- Connecting requires Settings access (access level 27).
- This is not the same as the Square integration used for syncing in-person sales — if you use both, you'll connect and configure them separately.
What This Integration Does
This is an outbound invoicing tool: it takes orders you create in BarSight and sends them to Square as invoices your customers can pay online. It covers:
- Wholesale/distribution customer orders.
- Event and booking deposits.
- Event ticket purchases.
When an invoice is paid or updated in Square, BarSight is notified automatically and updates the order — you don't need to manually check for payment.
Connecting Square Invoices
- Go to Settings → Integrations.
- Find the Square Invoices tile and click Activate.
- Log into Square and approve access to your customers, orders, invoices, items, and payments.
- You'll be sent back to BarSight, and your existing customers are automatically matched to Square by name.

Configuring Invoice Behavior
Open Options to set:
- Invoice Title — what appears at the top of the invoice (defaults to "Invoice").
- Send Invoice Immediately — whether invoices email to the customer automatically, or stay as a draft until you publish them.
- Payment Due — due window (7/10/30/60/90 days, or due on receipt).
- Charge Card on File — automatically charge a saved card when the invoice comes due.
- Square Location — which Square location invoices are created under, per BarSight location if you run more than one.

Tips and Limitations
- Once an invoice has been sent/published in Square, it can no longer be deleted from BarSight — only draft invoices can be removed.
- The Sync Data button only re-matches customers by name — it doesn't create or update invoices. Invoice and payment updates happen automatically through Square as they occur.
