Connecting Square (Point of Sale)

The Square integration pulls your daily sales data out of Square and into BarSight so you can build costed schedules, forecast sales, and see your operating margins without typing anything in by hand.

Before You Start

  • You need an active Square account with at least one location.
  • You'll approve the connection while logged into that Square account in your browser.
  • Connecting requires Settings access (access level 27).

What This Integration Does

This connects to your Square Point of Sale account specifically — it's separate from the Square Payroll and Square Invoices integrations, which are their own connections under Settings. Once connected, Square data flows one direction: from Square into BarSight. Nothing is pushed back to Square.

What gets pulled in:

  • Daily sales totals — cash, card, and other tender types, tips, taxes, discounts, returns, gift cards, and order counts, per location per day. This is what powers costed schedules, sales forecasting, and margin reporting.
  • Order and line-item detail for your Sales Log, matched up against your BarSight kitchen inventory items where possible.
  • Your Square catalog — items, categories, taxes, and modifiers — used to link or create matching inventory items and tax rates in BarSight.

Sales data is pulled in as needed — for example, when you open a schedule or report that needs a given day's numbers — rather than streamed to you live the instant a sale happens at the register.

Connecting Square

  1. Go to Settings → Integrations.
  2. Find the Square tile and click Activate.
  3. You'll be sent to Square to log in and approve access to Customers, Items, Inventory, Payments, Invoices, Orders, and your Merchant Profile.
  4. Once approved, Square sends you back to BarSight and the connection is live. BarSight automatically detects your Square account's main location — you don't need to look up or enter a location ID yourself.

Mapping Locations

If you run more than one BarSight location, open Options on the Square tile to map each BarSight location to the matching Square location. Any location left unmapped defaults to pulling data from all of your Square locations, so if you only want a specific location's numbers to count, map it explicitly.

Tips and Limitations

  • Processing fees are not synced — Square doesn't expose an accurate per-transaction fee figure through this connection, so BarSight shows $0 for fees rather than an estimate that could be wrong.
  • Only completed payments count toward your totals; failed or declined payments are skipped.
  • If a location uses a different POS in addition to Square, only the Square-connected location gets automatic sales sync.
  • Never enable both Square and another POS integration (like GoTab) for the same location at the same time — only one can be active per location.

Troubleshooting

Problem: The Activate button fails or shows an error after logging into Square.

Solution: Confirm you're logged into the correct Square account (the one tied to your business), then try again. If it still fails, contact support@barsight.ca.

Problem: Sales numbers look wrong for a location.

Solution: Check your location mapping under Square → Options — an unmapped location pulls data from every Square location combined, which can inflate numbers for multi-location accounts.
