Connecting GoTab (Point of Sale)

The GoTab integration brings your live sales and staff punch data into BarSight, adding a GoTab dashboard tile that shows who's currently punched in, today's sales, and an estimated labour cost — all without leaving BarSight.

Before You Start

• You need an active GoTab account with at least one location.
• You'll need admin access to your GoTab account to approve BarSight's access.
• Connecting requires Settings access (access level 27). Viewing the dashboard tile requires payroll-level access.

What This Integration Does

Once connected, a GoTab Punched In tile appears on your dashboard. For any day you pick (defaulting to today), it shows:

• How many staff are currently punched in — combining punches from GoTab and BarSight, since staff may clock in on either system.
• A 7-day sales trend, split into closed sales and open tabs (orders still in progress).
• An hourly chart comparing scheduled labour cost against actual labour cost and hourly sales.
• Labour cost as a percentage of sales for the day.

Connecting GoTab

1. Go to Settings → Integrations.
2. Find the GoTab tile and click Activate.
3. You'll be sent to GoTab's site to log into your GoTab admin panel and grant BarSight access to your location.
4. GoTab sends you back to BarSight automatically once you approve — there's no password or token to copy over yourself.
5. Open Options on the GoTab tile and confirm your GoTab Location ID.

Linking Your Employees

GoTab doesn't know about your BarSight employees, so each staff member needs to be linked manually, one time:

1. Open the employee's profile in Crew.
2. Find the GoTab Integration box.
3. Choose the matching GoTab staff record from the dropdown (defaults to "Not Linked").
4. Save.

Linking an employee makes sure their GoTab punches are attributed to the right person on your dashboard and reports.

Optional: Syncing Punches to GoTab

Under GoTab → Options, you can turn on Sync BarSight Punches to GoTab. This is a newer, simpler sync — it only sends clock in/out times, not breaks — so treat it as a convenience feature rather than a full replacement for tracking breaks in one system.

Tips and Limitations

• Never run both Square and GoTab at the same time for one location. Only one POS integration can be active per location — if both are enabled, whichever one BarSight loads first will silently take over and the other will just stop working, with no error message.
• The labour cost shown is an estimate, calculated directly from raw punch times and hourly rate. GoTab's own finalized payroll numbers aren't available until the next day, so same-day figures won't perfectly match GoTab's official totals (for example, unpaid breaks aren't subtracted out).

Troubleshooting

Problem: An employee's punches aren't showing up on the dashboard.

Solution: Check that their profile is linked to the correct GoTab staff record under Crew → their profile → GoTab Integration.

Problem: Sales or labour numbers seem off.

Solution: Confirm only GoTab is active as your POS integration for that location — having Square enabled at the same time will cause one of the two to silently stop working.
